How Empire OS handles information

Empire Hoods LLC operates Empire OS and Empire service portals. This policy explains how we handle information when people use our websites, customer links, and operational software.

Information we process

We process account, contact, property, service, quote, invoice, payment-status, scheduling, communication, attachment, and support information needed to provide commercial service operations. When an organization enables calling, messaging, email, calendar, accounting, banking, or CRM connections, we process the information authorized for that connection to provide the selected workflow.

Google data

If an organization authorizes Gmail or Google Calendar, Empire OS uses the approved Google data only to provide email intake, attachment handling, communication history, and scheduling features requested by that organization. We do not sell Google user data or use it for advertising. Access tokens are encrypted and scoped to the organization that authorized them. An authorized user can disconnect the connection from Settings.

How we use information

We use information to operate the service, route requests, prepare service records and documents, process payments through configured payment providers, maintain security and audit trails, improve reliability, and meet legal obligations. We do not use operational content to make automated commitments on behalf of a customer.

Text messaging

When you provide your mobile number and agree to receive text messages, Empire Hoods LLC may send service-request responses, quote follow-ups, appointment confirmations and reminders, technician arrival and service updates, billing or compliance information you request, and customer-support messages. Message frequency varies according to your requests and active services. Message and data rates may apply. Consent to receive text messages is not a condition of purchase. You can opt out at any time by replying STOP, or request assistance by replying HELP.

Service providers and sharing

We share information with providers an organization chooses to connect, such as payment, communications, accounting, banking, calendar, email, and CRM providers. We also use infrastructure and security providers to host, deliver, and protect the service. We may disclose information when required by law or to protect the service and its users.

Mobile information

We do not sell or share mobile phone numbers, text-message opt-in data, or text-message consent with third parties or affiliates for their marketing or promotional purposes. We may share this information only with communications providers and other vendors that help us deliver and support the messages you requested, or when disclosure is required by law. Text-message opt-in data and consent are excluded from all other data-sharing purposes described in this policy.

Retention and security

We retain information for as long as needed to provide the service, maintain required business and financial records, resolve disputes, and meet legal obligations. We use access controls, organization isolation, encryption for connection tokens, logging, and monitoring designed to protect information. No system is completely secure.
